How HELMQ Works: From Purchase to Your Deliverables
No black box, no mystery. Every engagement follows the same five steps — so you always know what we need from you, what you'll receive, and when you'll receive it.
We Sign a Mutual NDA — Before We Ask You Anything
Every engagement starts with confidentiality. Before you share a single detail about your product, both sides sign a mutual NDA. Your idea, your numbers and your plans are protected from day one — a commitment in writing, not a promise.
You Share Your Context, Your Way
Tell us about your project however it comes naturally: voice notes, videos, messages, files, or by answering our guided questions. Everything you share becomes part of your company brain (your knowledge, stored and curated: audio, video, files, PDFs) — the single source our experts consult to shape your deliverables.
Because this is a strategic service, expect direct business questions: how much budget you plan to invest, how many qualified people you can count on, whether you'll build it yourself. Some may feel uncomfortably direct — they're also exactly what lets us tailor the result to your reality. The more context you share, the more precise your deliverables; the less you share, the more general they'll have to be.
Our Experts Get to Work — With AI Under Human Supervision
We don't hand your project to an AI and forward you the output. HELMQ works as a team: senior experts supported by AI, with human-in-the-loop review (a senior expert examines everything the AI touches). We know where AI accelerates the work — and where it must be exhaustively supervised by a person. Every deliverable is made by that team, never by AI alone.
Your Deliverables Arrive in Your Project Space
When the work is ready, we upload your artifacts (your files and deliverables: playbooks, PDFs, markdown documents) to your project folder on the HELMQ platform. You review them, download them, and tell us exactly what to adjust.
Revisions and Follow-Up, Defined by Your Engagement
Every deliverable includes revision rounds agreed up front, and your engagement defines how far the follow-up goes. Most engagements are fully async — you review on your own schedule. The Architecture Co-Pilot also includes calls and ongoing oversight through your dedicated liaison.
Every deliverable arrives as a document, not raw text — you comment directly on the section, paragraph, or diagram you want changed. Each note gets resolved within your agreed revision round, and the approved version ships as a final PDF in your shared project folder.
Async First. A Human, Never Far.
Most of the process needs no meeting at all. When you want to know someone's on the other side, this is the order we reach for.
Async, by default
You review deliverables and leave notes on your own schedule. No status calls to attend.
A messaging channel, open
A direct line to your team for questions or a quick check-in — answered by a person, not a queue.
A call, as the last resort
Reserved for what messaging can't resolve — so speed never turns into another meeting on your calendar.
What's inside each deliverable
The format follows your need — not every project requires the same thing. Here's what each type contains:
For one bottleneck
- ✓ A clear verdict: what to build, with which technology, and what to avoid
- ✓ The reasoning behind every recommendation
- ✓ Key risks and next steps
For one major decision, documented end to end
- ✓ A technology and cost comparison, with trade-offs
- ✓ A recommendation with its reasoning
- ✓ A decision-ready document — e.g. as a PDF
For a full architecture, sandbox-validated
- ✓ Architectural system design and justified architecture decisions
- ✓ API contracts and data model specifications
- ✓ A sequenced, sprint-by-sprint implementation plan
- ✓ Structured specs your AI agents can execute
Whatever the format: always written, with reasoning and trade-offs — reviewed by a senior expert before it reaches you.
One Point of Contact. One Async Engine.
Your liaison joins the calls and speaks your language. Behind them, HELMQ runs on requests and tickets — no internal status meetings, only delivered specs.
You & Your Team
Raise a request or convene a call — however your team already works.
Your Liaison
A senior liaison assigned to your account — attends your meetings, translates requirements, and reports progress on every call.
HELMQ Engine
Async, ticket-based delivery — blueprints and specs, on schedule, without a meeting.
Your liaison works alongside your IT leadership and your vendors — in your meetings, translating requirements, keeping oversight active. You hold one relationship and one point of accountability. Behind it, an engine that never has to leave async.
